Define the unit of work.
Choose a single order, event, job, or customer request. Decide what the brief must explain: the requested outcome, the latest confirmed state, the next action, and who owns it.
A giant summary of every message usually hides the detail needed for a decision. Start with one unit, then apply the same structure to other work.
Keep source and status together.
Provide the relevant records with a stable label and timestamp. Ask for each important fact to be linked to its source. Preserve the distinction between requested, proposed, and confirmed.
If an email says “Could we move delivery to Friday?” that is a request. It becomes a commitment only when the responsible person confirms it. Ask the model to show what evidence would be needed to change the status.
Surface conflicts instead of smoothing them over.
Customer messages, internal notes, and system records can disagree. Have the model show the competing values and their sources. A smooth summary can conceal exactly the conflict the team needs to resolve.
Identify a person responsible for resolving each question. If the owner is not known, write “unassigned.” Do not let the model invent responsibility from a job title.
Review before the brief becomes the record.
A person should verify the brief against the source material. Only confirmed corrections should update the maintained record. Save the reviewed brief where the team can find it, with an owner and an update date.
For an automated version, start with reading and drafting. Writing to the system, sending a reply, or confirming a schedule requires a separately tested action and appropriate authority.
