Provide the customer’s request, the relevant policy, and the facts you have confirmed. Tell the model what it may offer and what requires approval. A friendly tone does not compensate for an invented delivery date.

Use a few approved examples to show how your business communicates. Remove irrelevant personal information before including examples in a tool.

Ask for a useful next step.

A reply should help the customer do something: provide a missing detail, choose an available option, or understand what happens next. Ask for concise language and one clear next action.

If you cannot confirm an answer, say what is known and what will be checked. Do not let the model turn uncertainty into confidence just to make the message feel finished.

Review the claims before the tone.

Check prices, dates, availability, specifications, refund terms, and commitments against the actual sources. Then check whether the message sounds like your business.

For recurring replies, maintain an approved response pattern and the policy it depends on. A saved template can become inaccurate when the policy changes. Give someone responsibility for keeping both current.

Expand carefully from draft to sending.

Start with a person reviewing each draft. Keep examples of edits and why they were needed. Only consider automatic sending for a clearly bounded class of messages that performs well in testing.

Make escalation rules concrete: conflicting information, unusual requests, complaints, or a decision the system is not authorized to make. Keep a straightforward way to stop the automation and handle the case manually.
